Sync is not backup, and the distinction is expensive

A sync repeats an error just as quickly, and just as faithfully, as it repeats good work. When an assistant deletes the shared drive, or a compromised account starts encrypting files, sync faithfully distributes that to every device in seconds. It is a convenience feature, and it has been mistaken for a safety net in most estates we have taken over.

A backup is a separate copy, in separate custody, taken at a point in time you can return to. The whole value is in the separation.

Where the copies live

Every copy is encrypted, then kept clear of three things: the tenant, then the network, then the credentials it exists to protect. That separation is what counts when an account is taken over: somebody holding full command of your environment can wreck anything within it, and cannot touch a copy that was never inside their reach.

The platforms nobody thinks about until the day

Microsoft 365 and Google Workspace keep your mail available. Neither is a backup, and both are explicit about that in their own terms. The same is true of QuickBooks Online, where the accounting file of a touring or production company sits with no recovery promise attached to it, and of the directory that decides who is allowed to be who.

Rehearse the restore

The restore rehearsal line runs an unattended recovery on a schedule and hands back written proof that it worked. An untested backup is a belief. This is the line that turns it into a fact, and it is the one people skip and later wish they had not.

Where this department stops

Backup protects what is inside the scope of the line you bought. It is worth being exact about what that does and does not include.

  • It is not a sync service and it is not storage you browse casually. Recovery is a request, or a self service restore, not a folder on your desktop.
  • A personal photo library in a consumer cloud account is not covered by any line here. If that material matters, tell us and we will discuss how to protect it properly.
  • The opening copy is a large one and it takes a while. Keep the machine on and connected while it runs, and every later pass carries only the difference.
  • A restore needs somewhere to restore to. Hardware that has been destroyed still has to be replaced before a machine can return, and planning for that is something we do with you ahead of time.
  • Cloud lines follow the platform. QuickBooks Online is counted per company file, Entra ID per tenant, and mail lines per licensed user.
  • Cancelling a line destroys the copies it was holding, on whatever schedule the platform runs to. Pull out whatever you still care about first, or ask, and we will leave it running until you have finished.
